Describe what happens in each work area
An entrance, storage aisle and wet work area may need different specifications. Mark the proposed work on a floor plan and describe each area's activity. Include pedestrian routes, wheeled equipment, fixed machinery, floor drains and any surface damage.
Use actual operating details where you have them. Provide the names of cleaning products, the types of spills that occur and equipment information relevant to the floor. Do not include confidential access codes in an online inquiry.
Check chemical and temperature requirements
Sherwin-Williams' chemical resistance guidance explains that flooring protection is rated for particular exposures and that cleaning methods need to be compatible with the system. Ask for suitability to be checked against your actual products and practices.
Heat is a separate selection question. The manufacturer's thermal shock guidance distinguishes ordinary epoxy from systems intended for rapid temperature changes. Tell the estimator about hot washdowns or abrupt hot-to-cold exposure before requesting epoxy by name.
Put work boundaries and downtime in writing
Ask the proposal to identify the area being treated, preparation, repair allowances and excluded work. Discuss how people and equipment will move around the project. Separate application time from the return of foot traffic, equipment and normal cleaning.
If phased access is essential, describe the requirement at the start. Confirm feasibility before scheduling deliveries, reopening an area or committing to a shutdown window. Do not infer after-hours work or a completion deadline from a general service listing.
Review appearance after performance requirements

Bring any facility requirements to the estimate. A product described as commercial does not, by itself, establish suitability for your operation, a particular certification or regulatory compliance. Ask what documentation supports the proposed use.
